How to use it

  1. 10 weeks out: fill in the report plan (Form A) and ask when the year-end figures will be final.
  2. 8 to 6 weeks out: choose the stories and get written permission; pull the results (Form C) and draft the financial summary (Form D).
  3. 5 to 4 weeks out: draft the letter and program pages (Form B); the treasurer checks the figures and the chair reads the letter.
  4. 3 to 1 weeks out: check donor names, design and proofread, then the final check (Form E) and the chair's approval.
  5. Send date: send it, post it on your website and give each board member a copy.

More kits for executive directors

With an annual report, the design is rarely where it goes wrong. The year is: a program that missed its target, or a deficit nobody has explained to the board. A coach helps the executive director decide what the report says plainly about the hard parts, and say it to the board first.

Six sessions of executive coaching: $300, $400 or $600, set by your organization's yearly operating expenses.
